ECCMA advises adding a data clause to your purchase orders in order to get high-quality data from your supply chain.
The general terms and conditions of a purchase order can refer to ISO 8000 in the manner shown in the example that follows.
Data clause
Supplier hereby accepts responsibility for providing the data necessary for the safe and efficient use of the item covered by this contract (purchase order); specifically:
- All parties supplying goods or services under this contract shall be identified by providing either an Authoritative Legal Entity Identifier (ALEI)1 formatted in compliance with ISO 8000-1162 or a copy of their document of formation (certificate of incorporation). The document of formation shall identify the issuing authority, the date of formation, the legal name and the registration reference used by the issuing authority.
- All locations shall be identified using a Natural Location Identifier (NLI) formatted in compliance with ISO 8000-1183
- All items shall be identified using a quality identifier formatted in compliance with ISO 8000-1154
- All items shall be described using a specification in Structured Data Format (.sdf) as described in ISO 8000-1145
1 The ALEI is a free, public “Authoritative Identifier” of businesses; it is issued by a government authority and provides a single, unique public identifier for each business as a legal entity in that jurisdiction.
2 ISO 8000-116 is the international standard for formatting a locally issued ALEI and a globally unique identifier by adding prefix that identifies the issuing registrar for the jurisdiction.
3 The NLI is a simple 14 digit code used to represent any physical location on earth including inside a building. The NLI is a free “natural” identifier, you simply calculate it by applying the ISO 8000-118 standard to your GPS coordinates and you apply the same standard to convert an NLI back to your GPS coordinates. 4 A quality identifier formatted in compliance with ISO 8000-115 is an identifier such as an asset number, part number, serial number or batch number where the identifier contains a registered prefix (see www.SmartPrefix.org) that can be used to identify the legal owner of the identifier and resolve the identifier to a specification.
5 Formatting a specification in compliance with ISO 8000-114 is very straight forward. It consists in making the attributes and code values explicit by mapping them to the eOTD and then formatting the specification in JSON.
